Minutes: Motion to accept minutes as presented (TJ) (MN), motion carried. Volunteer hours clarification and specific duties that will be considered - will discuss under new business agenda item.
Old Business:
Edison kids – Bob met with DanGustafson – initiation coordinator at Edison – no association anymore – few involved – their kids want to come and skate with us – 6 younger kids – where register – they should register with their own association – if not possible register with us – Mark has no update on the other kids – OK with District?
New Business:
Student Coaches – USA Hockey vs Insurance – insurance will be valid if – must be at least 13 years old, must be on registered IYHA team roster as a student coach, must be at least 2 years older than team helping coach and must fill out USA hockey form.
Volunteer Program – a few responses have been reported – some say 6 is too many hours to ask – others say 6 is too few hours to ask
Volunteer Hours – Cheryl document – review – issue with mini mite only parents – should they be volunteering as much as others or should be not required – should volunteer hours be at a team level (mini mites) – c/b a tracking issue if some groups go by family and some by team – maybe only for mini mites – don’t charge mini mites – can’t be considered payment for hours worked – c/b employment law issue – s/b considered fundraiser money - do this for all 1st year parents? - 3 recommendations on back of Cheryl’s handout – s/b per family vs per skater? – Cheryl’s other documentation from assns in Twin Cities – what is counted as volunteer work – SLP last year – this is what’s available to do – regular communications – 3 hour blocks for tournament works good – need to keep it at 6 hours and $150 – will be a learning experience this year and can change for next year – this issue has been going on for years – change it to 6 tournament hours? Motion – Bob G - clarify volunteer program from last month’s meeting - 6 hour volunteer minimum will be tournament hours only and 1st year hockey player’s (only child) family’s are exempt – second Tom J – discussion – s/b OK with those that have already paid – will deal with issues on case by case basis – motion passed.
Volunteer Document – Torri volunteered to document and put a volunteer form out on the IYHA website – we need to approve what is a valid volunteer hour – draft process – do we still need this or will be taken care of with tournament documentation –
Website Guidelines – Torri passed out 3 new documents and guidelines handed out – please review and approve guidelines document – confidentiality agreements – Torri and others – s/b signed – team managers could have access and therefore need to sign - Jackie – move to table guidelines until next meeting (add to agenda) and approve (JR) (MM) – motion carried.
Board Roundtable:
President: Tom Lucarelli. – not present – below is his report:
·                     I've been in contact with Pat Leary - Edison president. Pat is aware of the urgency regarding the number of potential Edison players that may be opting to play for IYHA. I expressed my concern with quickly getting a count of the number of players and how this will affect both the number of teams we'll have at various levels and the number of players per teams. Pat assured me that he will personally call the players and get back to me by the end of the week (8.17.07). Pat will be checking both with the boys and girls, although he indicated that the girls will probably co-op with Minneapolis.
·                     Also regarding the number of players at the Bantam age group: Mark Mohar has been trying to schedule a meeting with Jeff Martin - Irondale Boys High School coach to discuss the potential of second year Bantams joining the varsity team. IYHA needs an answer soon on this along with the Edison players. Again -- this directly affects the number of teams and level of play.
·                     I've received a few calls regarding the possibility of the girls teams taking part in the January Super Rink tournament. Mike Nundahl should inquire about the Irondale girls teams interested. We should also consider advertising in Let's Play Hockey to see what interest there is. If it's feasible (that the girls will participate), volunteers need to be signed up for the additional hours required.
·                     As far as volunteer hours, let's be proactive and get members to sign up as soon as we can for tournaments, games, etc. Adjustments to the volunteer schedule may need to be made along the way but time slots we know of right now (like the two Super Rink tournaments) can have the time slots filled in.
·                     Let's send out an email to the association about an equipment exchange/donation and maybe schedule this to take place at the last registration in September.
·                     Tom Johnson - let me know about the equipment/apparel for storage. We can store the equipment/apparel at the facility where I work.
·                     The IYHA handbook has been updated. I would encourage all members to look it over.
Per Mark Mohar – updated manual almost done – few changes – should be ready for everyone to review
Vice President: Cheryl Mason. – Tournament planning going on with Mounds View – ½ slots already filled – new trophies – volunteer slots planning early – last parade is Sunday – Heidi coordinating – Jackie – who can pull the puck to the parade?
Secretary: Jean Aukee. – Pictures? – Cheryl will check with Nikki – what done last year – Fundraising committee – Cheryl will tell Rich Sonterre they can go ahead and meet.
Treasurer: Tom O’Keefe. – not present – no report
Girls Program Coordinator: Mike Nundahl. – registration and 14Us – 14Us and 12UA’s combine to make a team – need to recruit them now – issue with putting money down – SLP – waiting for registration MV too – currently c/b 19 girls that could play HS – 20 returning HS this year has 2 goalies – we could be at 39 girls in HS with 5 goalies – Registration question – pay for 14U? What if go to HS? $ reimbursed – Edison girls going to Mpls SW because that is where they will play hockey – extend registration until 9/1/07 – wait until after this Saturday’s registration – extend for all? Motion – to extend registration until end of August for 14U – Tom R out of town until after this Saturday’s registration – don’t need motion because registration dates were never voted on by the board – DIST1 has no options for a 12UA player – Highland – pay $500 and if don’t make team out the money – most assns have their own 12UA teams – are there any players out there who would come and play here – money paid to IYHA would not transfer to new assn – registration costs would be paid twice – if no 12U or 14U – no ice for 14U currently except warm ups and tryouts – planned for 3 girls teams – if get 4 would combine or shift ice around
Initiation Program Coordinator: Bob Gabler. – nothing to report – just Edison stuff previously mentioned – initiation players play for free? – no won’t happen this year
Boys Program Coordinator: Mark Mohar. – VFW league meeting on July 31st – A Bantams – New Brighton VFW Post has no building – using Eagles – have until August 30th to send them a check - $2073 – 12 games – refereeing and fees – Bob motioned a recommendation that the board pay and the bantams will reimburse us because not an approved budget item – Cheryl second – motion carried – hockey try out seminar for parents – Mark will explain the process to parents – tryout schedule – one hour block – no evaluators – just a practice – LEC taken care of
